Hostelworld Extranet & Inbox: The Operator's Guide

The login, the login problems, what's actually inside, what to do when it won't load, and where the free extranet stops.

Looking for the login? It's inbox.hostelworld.com: property ID, username, password. Traveler accounts live on hostelworld.com, which is a different door entirely; if you keep bouncing off a login that doesn't recognise you, that's the usual reason.

What the extranet actually is

"Extranet" and "Inbox" get used interchangeably, and in practice they are the same place: the property side of Hostelworld. Since Counter shut down in March 2025, it's the free default for running Hostelworld bookings without a PMS.

  • The booking list: reservations, cancellations and arrivals, filterable by groups, arrivals and non-refundable rates; add, edit, take payment.
  • Guest messaging: templates, automatic triggers, a welcome email before arrival.
  • Availability and rates: open and close beds, adjust prices, keep the listing honest.
  • Invoices: generate them per booking with a breakdown of charges.
What the extranet actually is

The login problems everyone hits

Nine times out of ten, a "broken" extranet is one of these:

  • Wrong door. hostelworld.com is for travelers; the property login is inbox.hostelworld.com. The traveler site will happily reject your operator credentials all day.
  • No credentials yet. A brand-new listing signs up and gets its first login through business.hostelworld.com, not the Inbox page.
  • Forgotten password. The reset link sits at the bottom of the login page itself.
  • Lost property ID. It's in your onboarding emails from Hostelworld; search your inbox for the number before opening a support ticket.
  • Actually locked out. When none of the above fits, support.hostelworld.com is the route; the help center has a dedicated article on Inbox login.

Is Hostelworld down right now?

Hostelworld doesn't publish an official status page, so the quickest check is a third-party monitor. isitdownrightnow.com and Downdetector both track hostelworld.com. A useful second test: if the traveler site loads fine but the extranet won't let you in, it's almost certainly a login problem, not an outage.

Outages are rare, but they teach the same lesson every time: if the extranet is your only calendar, Hostelworld's downtime is your front desk's downtime. Operators who run their beds in a PMS keep checking guests in and selling walk-ins while a channel is offline, because the calendar is theirs, not the OTA's. That's the deeper case for moving from Inbox to a full PMS, outage or no outage.

Where the free extranet stops

The Inbox handles the Hostelworld side of the job properly, and it costs nothing. Its edges show the moment the hostel is bigger than one channel: a Booking.com reservation, a walk-in or a WhatsApp regular simply doesn't exist in it, there's no booking engine for commission-free direct bookings, and housekeeping, bed moves and occupancy reports stay manual.

None of that is a reason to abandon it. It's a reason to know which tool owns which job. the Hostelworld connection pulls bookings into a bed-level calendar the moment they're made, and a channel manager does the same for every other channel at once.

Where the free extranet stops

Extranet or channel manager: which do you need?

If Hostelworld is your only channel and the dorm count is small, the extranet is enough. Stay, and spend the money on mattresses.

The switch earns its keep when you sell on more than one channel or want direct bookings from your own site. Then one bed-level calendar replaces the mental arithmetic, and the extranet goes back to doing what it does best: the place you message Hostelworld guests.
