What HostelMate is

HostelMate is hostel management software: a property management system that sells dorm beds one at a time, a booking engine on your own website with no commission, and a channel manager for Booking.com, Hostelworld, Airbnb, Expedia and Agoda. Lite is $19 a month for up to 30 beds. Advanced is $45 with unlimited beds. No per-booking fees on either.

  • From $19 a month
  • 0% commission
  • No per-booking fees
  • 100+ channels
  • Channel manager included on both plans.

Built for hostels, not hotels

Hotel software counts rooms. A hostel sells beds, and that one difference runs through everything: the calendar, the OTA sync, the price list, the group of twelve at the door at 11pm. HostelMate has used the bed as its unit since day one, and we only work with hostels.

Dorm beds, sold one at a time

Mixed dorms, female-only dorms and private rooms on the same calendar. Sell an eight-bed dorm as eight beds, or as one room to a group, and never both at once.

How bed-level inventory works

Hostelworld and the OTAs, synced per bed

A bunk sold on Hostelworld comes off Booking.com and Airbnb straight away, and the booking lands on that bed in your calendar. Nothing to split by hand, nothing to check at 2am.

Groups, long stays and walk-ins, one calendar

Hold twelve beds for a group, keep the monthly guest on bed 3, and sell tonight's leftovers to whoever walks in. Drag a guest to another bed and every channel follows.

What it costs

Lite$19 a monthup to 30 beds
Advanced$45 a monthunlimited beds

Lite is $19 a month for up to 30 beds. Advanced is $45 a month with unlimited beds. Both include the channel manager and the booking engine. No per-booking fees, no commission, no setup fee. Cancel anytime.

Pay yearly and it is $18 and $43. Seasonal hostel? Your bill can drop for three months in the low season.

Moving from Cloudbeds, Excel or another PMS

The move is deliberately unglamorous. Export what you have, send it as it is, get the beds mapped once. Your channels keep selling the whole time.

From Cloudbeds

Export your reservations and guests while the subscription is live, email the files as they are, then move channels one at a time. The longest step is usually your notice period.

From a spreadsheet

Email the sheet exactly as it is, odd tabs and all, to contact@hostelmate.co. A person on the team loads it, usually within an hour or so. Please don't tidy it first.

From another PMS

BananaDesk, a hotel PMS, Hostelworld Inbox: if it exports, it comes across. The import is usually done within a day, and mapping your beds properly is the part worth doing slowly.

Hostels that run on HostelMate

Putting the booking engine on our site completely changed our margins. Add in the online check-in, and guests basically walk in, grab a key, and hit the bar. It's exactly the vibe we want to set.

Questions people ask before choosing hostel software

It is the software a hostel runs its day on: the bed calendar, bookings from your own website and the OTAs, payments, guest messages and prices, in one place. The difference from hotel software is the unit. It sells and tracks beds, not rooms, so an eight-bed dorm is eight things to sell and a private room is one. Most hostels pair it with a channel manager and a booking engine; HostelMate includes both.

A hostel PMS treats the bed as the unit. Hotel software treats the room. That one difference decides how the calendar looks, how a dorm sells on Booking.com and Hostelworld, how a group of twelve is held and how a price is set per bed. Hotel software can usually be configured for dorms, but someone then translates rooms into beds by hand every day.

We compared ten systems bed by bed

HostelMate is hostel management software: a property management system with bed-level inventory, a commission-free booking engine for your own website, and a channel manager for Booking.com, Hostelworld, Airbnb, Expedia and Agoda, with guest messaging over WhatsApp and email. It has been built for hostels only since 2020 and is run from Dubai. There is a web app and apps for iOS and Android.

Hostels, and only hostels: from a ten-bed place to a group running several properties from one account. Lite covers up to 30 beds and Advanced has no limit, and both include the channel manager, so a small hostel selling on Hostelworld and Booking.com gets full sync from the first month. If you run only private rooms, a small-hotel system may fit you better, and we would rather say so on a call than sign you up.

Lite is $19 a month for up to 30 beds. Advanced is $45 a month with unlimited beds, plus accounting, dynamic pricing rules, permissions per staff member, API access and 24/7 live chat. Yearly billing brings them to $18 and $43. There are no per-booking fees, no commission on direct bookings and no setup fee; the only extras are the optional add-ons listed on the pricing page and whatever your card processor charges.

Full plan comparison

Yes, all three with two-way sync, plus Expedia, Agoda, Google Hotels and more than 100 other channels. Availability moves per bed: sell a bunk on Hostelworld and it comes off Booking.com and Airbnb, and the booking lands on that bed in your calendar. The channel manager is included on both plans, not sold as an add-on.

How the channel manager works

No. You can open the live demo without signing up, which is the real product with sample data, and book a free call to walk through your own setup. Plans are monthly and you can cancel at any time.

Open the live demo

Export what your current system gives you, or take your spreadsheet exactly as it is, and email the files to contact@hostelmate.co. A person on the team reviews and loads them, usually within a day and often within the hour for a smaller property. Then your beds are mapped once and the channels move over one at a time, while they keep selling.

Switching, step by step

Have a look before you decideThe demo is the real product with sample data. Pricing fits on one page. If you would rather talk it through, book a call and bring your bed count.
